Job Summary

YWCA Westman supports individuals and children escaping violence, and we are looking for a Human Resource Generalist who brings heart, professionalism, and strong organizational skill to our team. In this hands-on role, you will support the people who make our mission possible by coordinating recruitment, onboarding, orientation, training records, employee documentation, HR systems, and workplace health and safety administration.

Job Description

Duties & Responsibilities:
• Owns the recruitment administrative process including preparing and posting job
advertisements, screening applications, scheduling interviews, completing reference checks, and
preparing employment documentation.
• Owns the Onboarding & Orientation System for the YWCA- ensures an effective, organized
onboarding and orientation process for new employees, including collection of required
documents, coordination of training, introduction to policies, and completion of new hire
checklists.
• Consistently maintains accurate and confidential employee training records and certifications,
working with leadership to identify skill development opportunities.
• Manages the administration and coordination of role-specific training, including sourcing and
vetting providers, scheduling sessions, managing logistics of sessions, taking enrollment, filing
certifications, and the like.
• Maintain HR documents and information within the PayWorks HR software.
• Provide administrative support for employee relations by helping staff and supervisors access
policies, forms, procedures, and resources in a timely, respectful, and confidential manner.
• Own the continuous improvement of a client-centric learning approach that enables employees
to develop key competencies and understand new resources within the sector, encouraging
them to grow within their role and the organization.
• Coordinate the administration of annual performance reviews and ensure identified goals and
outcomes are met and addressed through ongoing training and professional development.
• Support compliance with applicable employment standards, technology platforms, workplace
safety requirements, human rights obligations, privacy practices, organizational policies, and
funder requirements.
• Assist with workplace health and safety administration, including meeting minutes, inspection
tracking, incident documentation, return-to-work paperwork, and communication of safety
procedures.
• Prepare HR-related reports, letters, forms, spreadsheets, and statistics to support management
decision-making, audit readiness, funding reports, and operational planning.
• Contribute to a positive workplace culture by supporting employee engagement initiatives,
recognition activities, staff communications, and continuous improvement of HR processes.

Strengths and Knowledge
The ideal candidate will possess:
• Knowledge of human resources administration, recruitment practices, onboarding processes and
employee records management.
• Experience working with a union, and demonstrated understanding of Collective Bargaining
Agreements and union processes.
• Strong written and verbal communication skills, with the ability to respond to employees,
supervisors, applicants, volunteers, and community partners in a professional and service
oriented manner.
• Strong public speaking and facilitation skills, including the ability to deliver engaging
presentations and orientation sessions with employees.
• Understanding of confidentiality, privacy, employment standards, workplace safety, human
rights, respectful workplace practices, and non-profit organizational accountability.
• Excellent organization, attention to detail, time management, and follow-through, with the
ability to manage competing priorities and meet deadlines.
• Proficiency with Microsoft Office, Outlook, Excel, HR information systems, and electronic file
management.
• Ability to exercise sound judgment, maintain boundaries, protect highly sensitive information,
and work collaboratively in a mission-driven charitable environment.

Qualifications & Experience
The ideal candidate will possess:
• Post-secondary diploma or degree in Human Resources, Business Administration, Non-Profit
Management, or a related field; an equivalent combination of education and relevant experience
may be considered.
• Human Resources designation or working toward a designation is considered an asset.
• Satisfactory Criminal Record Check, Child Abuse Registry Check, Adult Abuse Registry Check, and
any other checks required by the organization.
• Current Emergency First-Aid and CPR Certificate is considered an asset or may be required within
a specified timeframe.

Working Conditions
This position is primarily based in an office environment and requires regular use of a computer, phone,
and electronic records systems. The role requires a high degree of confidentiality, accuracy, and
professionalism when handling sensitive employee and organizational information. The position may
require occasional flexibility in hours to support interviews, orientation, training, meetings, or urgent
staffing needs. Stressors may include competing deadlines, confidential employee matters, recruitment
pressures, and supporting staff in a busy charitable service environment.
